Managed Google Workspace & Microsoft 365

Business email that lands where it should

Setup, migration, and ongoing admin for Google Workspace and Microsoft 365. Deliverability tuning (SPF, DKIM, DMARC), security hardening (MFA, conditional access), and a written handover doc so your team owns the mail stack after we’re gone.

Is this you?

Three mail-stack situations we see most

Business email breaks quietly and loudly. If one of these sounds like your inbox story, we should talk.

Deliverability leak

Your emails are landing in spam and you cannot pin why

Bounces creeping up. Marketing complaining that campaigns miss the inbox. Sales replies vanishing into promotions. The DNS records exist, but nobody's confident they're correct.

  • DMARC set to p=none for a year with no move to enforcement
  • SPF record over the 10-lookup limit and silently failing
  • DKIM missing on one sending source out of five

SPF, DKIM, DMARC, and BIMI configured and monitored. Inbox placement measured, not assumed.

Migration ahead

You are moving from consumer email, another provider, or an aging server

Team is on Gmail personal accounts. Or on an old Exchange server. Or on a legacy IMAP host. You need to consolidate onto a business platform without losing history, missing a meeting, or breaking DNS mid-move.

  • Historical email that must migrate cleanly with folder structure intact
  • Shared calendars and distribution lists that different teams depend on
  • A DNS cutover window that cannot bounce a single incoming message

Zero-outage cutover to Google Workspace or Microsoft 365 with mail history, calendars, and DLs preserved.

Admin drag

Onboarding, offboarding, and mailbox chaos are eating your ops time

Every new hire needs six accounts provisioned. Every departure needs shared-mailbox reassignment. Nobody remembers who owns which group. Your ops person spends a day a week in the admin console.

  • No documented onboarding checklist for new mailboxes
  • Ex-employees still auto-forwarding to personal Gmail
  • Shared mailboxes without a named owner

A documented onboarding and offboarding runbook, group and shared-mailbox map, and monitored admin cadence.

Deliverability over decoration

Deliverability is not a plugin. It's a protocol stack

Business email fails silently. A missing DKIM signature or an SPF record over the 10-lookup limit does not throw an error, it just puts your outbound mail into spam, one recipient at a time. Weeks go by before anyone notices the sales replies drying up.

We treat deliverability as an owned system. SPF, DKIM, and DMARC configured end-to-end across every sending source. BIMI where it makes sense. Reports monitored, not assumed. If your mail stops landing, we find out from the DMARC feedback, not from a lost deal.

How we work

Four steps from audit to a mail stack you can run without us

Every engagement runs the same loop. We audit what's there, we plan around your team, we migrate without an outage, then we hand over.

1

01 · Audit

Current provider, DNS records, deliverability posture, security baseline, and admin footprint mapped. Deliverable: a written audit naming what to keep, what to move, and what to fix.

2

02 · Plan

Mailbox structure, group and distribution list map, security baseline (MFA, conditional access, alert policies), and a DNS and deliverability plan. Deliverable: a plan document your team signs off before we touch a mailbox.

3

03 · Migrate

User provisioning, mail history transfer, calendars and contacts, DNS cutover in a scheduled window. Deliverable: a signed-off cutover checklist with the rollback plan on standby.

4

04 · Handover

Admin console walk-through, written runbook, monitored deliverability and security cadence. Deliverable: a handover doc plus a recorded walkthrough your team refers back to.

Google Workspace or Microsoft 365

Matched to how your team actually works, not to which logo you like more

Google Workspace fits teams that already live in Docs, Sheets, and Meet. Microsoft 365 fits teams standardised on Outlook, Teams, Excel, and OneDrive, or that need enterprise features like Advanced Threat Protection and Purview. Neither is universally better.

We help you pick based on your team’s real work patterns, your compliance needs, and your existing licence footprint. If a hybrid setup makes sense (Workspace for marketing, 365 for finance), we run that too. The tile row below breaks each option down.

Common questions

Business email questions we hear most

Google Workspace or Microsoft 365 — which one should we pick?

Depends on how your team already works. Teams already in Docs, Sheets, and Meet pick Workspace and move faster. Teams already in Outlook, Teams, and Excel or with compliance requirements (ATP, Purview) pick 365. Hybrid is a real option if different departments want different tools. We recommend based on your actual work patterns, not a preference.

Can you migrate our email history without downtime?

Yes. We stage the migration on the target platform first, run a delta sync to catch mail that arrived mid-migration, then flip the DNS during a scheduled window (usually late evening AEST). Users see no interruption; incoming mail queues and delivers within minutes of DNS propagation.

What does deliverability tuning actually involve?

Configuring SPF, DKIM, and DMARC across every sending source (mail platform, marketing tool, transactional service). Setting DMARC to enforcement gradually with monitoring so legitimate mail keeps landing. Adding BIMI where it makes sense for brand recognition. Monitoring the DMARC reports weekly for the first three months, then monthly.

Do you handle domain and DNS too?

Yes. Domain records for mail sit in DNS, and getting them wrong is where deliverability breaks. We own the DNS side of the migration and document every record change so your existing DNS admin (or ours) can verify.

Do you support shared mailboxes, distribution lists, and Google Groups?

Yes. These are the pieces that break first during a migration or an admin handover. We map every shared mailbox and group up front, assign named owners, and migrate them with permissions intact.

What happens after go-live?

You get 30 days of active monitoring on deliverability and admin health. After that you can move to a monthly retainer, or take it in-house with the handover doc. Your choice.
